Project coordination and follow-up of deadlines
All team members should be aware of the interdependencies in the project, i.e. that they are not only responsible for delivering their assignments in the required quality and without exceeding the assigned budget, but also that the work of others depends on the timely delivery. The project can only succeed if all team members understand and respect their responsibility as part of the whole project. Whenever a team member notices that deadline or budget may be exceeded, he/she should not hesitate to notify the project manager such that appropriate countermeasures can be introduced.
Documentation
Careful documentation of all processes, issues and results is essential for the information exchange within the project and towards the management or customers.
- Project handbook
- Protocols and minutes
- Status reports
Change management
Results, resources and deadlines can typically not be estimated accurately right from the beginning. Further, internal or external requirements may change while the project is progressing. Therefore, a capable change management is essential for each project. Basically, there are two situations where a change request is triggered:
- A request is aiming beyond the original scope of the project
- The project cannot be completed within the original assumptions and requirements
